1. Who we are. Hatch Kitchen RVA, LLC, a Virginia limited liability company, operates the Portal and is the controller of the personal information described here.

2. Information we collect.

• Identity & contact: name, home address, email, phone.
• Sensitive identifiers: Social Security Number and government-issued identification (collected only where necessary for identity verification, background screening, and lease administration).
• Business information: legal business name, EIN, business address, structure, concept, references.
• Documents: insurance certificates, food/health permits, zoning and licensing documents, signed agreements, and other records you upload.
• Usage & technical: log data, IP address, device/browser, and actions taken in the Portal.

3. How we use it. To provide and administer membership and the Portal; verify identity and screen applicants; manage leases, storage, billing, scheduling, and communications; maintain safety and security; and comply with legal obligations.

4. How we share it. We share information with service providers who help us operate the Portal (for example, our property-management system and email provider), and where required by law or to protect rights and safety. We do not sell your personal information.

5. Sensitive data (SSN and IDs). We treat SSNs and government IDs as highly sensitive. We limit collection, encrypt them, restrict access to authorized personnel with a need to know, log access, and retain them only as long as necessary for the purposes above or as required by law. We never display your full SSN in the Portal and never send it by email.

6. Security. We use administrative, technical, and physical safeguards including encryption in transit and at rest, access controls, and monitoring. No system is perfectly secure; we cannot guarantee absolute security.

7. Retention & deletion. We retain information per our Data Retention Policy. You may request access to or deletion of your information by contacting info@hatchrichmond.com; we will honor requests subject to legal and legitimate-business retention requirements.

8. Your choices. You may update your profile, manage communication preferences, and request access/correction/deletion.

9. Children. The Portal is not intended for anyone under 18.

10. Changes. We may modify this privacy policy from time to time in our sole discretion. We will post changes with a new effective date.
